Step One - Select Your Booth
Look at the expanded floorplan (see both pages) and choose your top 3 booth spaces.
You can choose a Full Booth or a Half Booth. You can choose your Half Booth partner, or we’ll pair you.
If you sign up for both days, you will have booth placement priority.

FLOORPLAN
Booth placement is made after payment is received.
Priority will be given to those signing up for both Saturday and Sunday.
Single day Booths may be moved or become not available (to ensure you get your Booth, consider signing up for both days and finding someone else to take your other day).

Returning Vendors
Returning vendors from October 2024 need only fill out the Online/Paper Release & Indemnity Form, and do not need to complete the entire Online/Paper Application again.

Vendors who will have staff or people in addition to themselves (e.g., Vendor’s partner) in their Booth in must complete the Online/Paper Release & Indemnity Form (to the right).

We are pleased to invite you to participate in the BEPC Conscious Wellness Expo as a Speaker or Workshop Host. Presentations are 50 minutes long and space is limited. To participate, you must be registered as a Vendor (Full or Half Booth).

Logistics
Setup/Cleanup Hours
Saturday you may enter at 8am (be “show ready” by 10:45am) and must be out by 7:30pm (tardy fee enforced on us by venue, and you’ll pay*)
Sunday you may enter at 9am (be “show ready” by 10:45am) and must be out by 6:30pm (tardy fee enforced on us by venue, and you’ll pay*)
If you are participating Saturday & Sunday, you are welcome to leave your booth set up Saturday night as the space will be locked.
Public Expo Hours
Saturday @10am-6pm (Psychic Panel @10am-11am, Expo 11am-6pm)
Sunday @10am-5pm (Psychic Panel @10am-11am, Expo 11am-5pm)
UnLoad/Load Location
We unload/load through the back doors of the facility - NOT through the front door. There is an easy access road through to the back doors. The facility has added a fence around the back area and will have it unlocked for us. Be sure to then park in the garage to the west of the building as soon as you have unloaded.
Parking
Park at the back to unload (NOT the front main door), and quickly move your car to the garage so others can get in to unload. This will also allow our guests to get the best spaces out front of the venue.
Building Rules
We must take good care of the venue. You may not attach anything to the walls (except with the tools they provide - ask us), and the floors must be carefully protected. If you harm the floors, there will be a repair fee. Be sure to put a protective layer under any racks that may scratch the floor. Clean up your space when you leave - do not leave trash. No open flame, no lighting sage or incense, etc.
House Rules
You are expected to remain in your booth throughout the day, except for reasonable breaks. We ask that Vendors and Practitioners use the Locker Room restrooms during the event.
We are a Washington State Non-Profit and use door prizes given by you to gift the public attending the event. You are expected to and agree to donate a door prize. It’s a tool to promote your business and for us to collect data on attendance. Be prepared to donate a door prize the day of the event. Make sure your contact information and booth number are included so they can come and thank you.
To ensure a safe (fire regulations) and healthy (allergies, etc.) experience for everyone, burning of incense, candles, or other related items, is prohibited. No Exceptions. We appreciate your full cooperation. We may have additional sanitary procedures as well.
Table space will consist of two 6 ft X 2.5 ft tables and two chairs (each booth has 8.5’ x 6’ = 51 sq ft – see floorplan on website). Due to the number of our participants, this space restriction will be enforced. Dividers, decorations, etc. are encouraged. Tents need approval.
Food and drinks will be available for purchase. You may eat in your Booth or a sitting area. Please remove any trash from your Booth.
You may bring signs, brochures, flyers and/or cards for the front tables in the hallway for display.
Cancellations
If the event is Canceled, such as due to WA State Guidelines, you will receive a full refund minus PayPal fee (or you may choose to roll over to the next year – note, price may change). Cancellations from you must be in writing and received by BEPC at least 30 days prior to the Expo for a full refund less the PayPal fee. Cancellations, in writing, received less than 30 days prior to the event, will incur a cancellation charge of 50% of the registration fee. The balance of the registration fee will be refunded by check. Absolutely no refunds will be provided 14 days prior to the Expo. If you choose not to participate on the day of the event, no refund will be provided. No exceptions.

Release & Indemnity
I state that I wish to participate in an Expo offered by BEPC. In consideration for the right to participate in this BEPC event, I hereby release BEPC, its volunteers, instructors, officers, admin staff and members from any and all liability claims and causes of actions arising out of or in any way connected with my participation in the BEPC Expo. I personally assume all risks in connection with this event and further agree to indemnify and hold harmless BEPC, its volunteers, members, instructors, officers and Board members, from all liability, claims and causes of action which I may have arising from my participation in this event.
The terms of this Agreement will serve as a Release and Indemnity Agreement for my heirs, personal representative, and for all members of my family, including any minors. I further state that I am eighteen (18) years of age or older and legally competent to sign this release, that I understand these terms are contractual, and not a mere recital, and that I have signed this document as my own free act.
I have fully informed myself and understand the contents of this release and indemnity by reading it before I have signed it. I am responsible for the contents of this application.
I understand that I am responsible for any damage to the wall, floor, chairs, and tables in the Booth that I am occupying.
Standards of Integrity:
I promise to be truthful and in integrity in all my interactions with BEPC and its board members, staff, volunteers, members, vendors, and guests. I will also engage in the community in ways that support all of us honoring these guidelines.
I promise to share space and resources and create a positive environment at events and with BEPC in the larger community. I honor all other Practitioners & Vendors, including their physical and psychic space.
I honor the customer, taking care to NOT: a) do any strong selling, b) recommend what is not in a customer’s best interest, c) pressure anyone to sample or buy, d) pull a customer away from another vendor’s Booth, and e) pressure anyone to stay at my booth.
I agree to have no counterfeit products at my booth. I realize that repeat occurrences will result in my no longer being admitted to the Expos and possible loss of my Booth fees.
